Information for Volunteers

Judicial Record Verification

The safety and security of our students is at the forefront of all our decisions. For this reason, every person who works or is regularly in contact with our students must undergo a judicial record verification. For this verification to be completed, you must provide your name and email address by clicking on the form below.

This information will then be provided to Gardium Security, from whom you will receive an email containing consent forms to complete. Please make sure to verify your junk mail, as the email should be received within 24-48 hours. To verify your identity prior to proceeding to your judicial record verification, you will have to upload two identification documents and enter the email address of another person who will also receive an email to confirm your identity. Once your judicial record verification has been completed, the results will be shared with the Legal Department of the Sir Wilfrid Laurier School Board. If you are approved as a volunteer, your school will be informed. Should you not be approved, you will be informed directly by a representative of the Legal Department.

Code of Ethics Applicable to Volunteers

All approved volunteers must comply with the Sir Wilfrid Laurier School Board’s policy no. 2025-HR-12: Code of ethics applicable to staff members and to any person required to work with minor or handicapped students or be in contact with them (the “Code of Ethics”).

All volunteers are therefore required to familiarize themselves with the Code of Ethics of the Sir Wilfrid Laurier School Board. In addition to outlining expected practices and conduct, it emphasizes your obligation to report, without delay, any situation that could reasonably pose a threat to students’ physical or psychological safety, or any breach of the Code of Ethics. Reports can be made to the school principal or centre director, or directly to the Human Resources Department of the Sir Wilfrid Laurier School Board at the following address: ethics_HR@swlauriersb.qc.ca.

Prohibition on Wearing Religious Symbols Applicable to Volunteers

Any person providing services to students is prohibited from wearing religious symbols. This includes volunteers participating in school outings or activities, as well as any person who regularly provides services on school grounds, even if they are not directly providing services to students (for example, a parent volunteer helping the school librarian to reorganize the library).

Any person present on school grounds who is required to be in contact with students must also keep their face uncovered, unless there are health or disability-related reasons or wearing a face covering is required for the performance of a specific task.

All approved volunteers must comply with these prohibitions.
